When To Use This

Use this article when staff need to review compliance follow-up from the Documents page. The visible workspace is called Vaccines and Documents. It brings together document status, dogs that may need follow-up, expiring records, review actions, reminders, and older compliance links that now open the Documents page.

Document status cards help staff see which records are approved, pending, rejected, or need follow-up.

Before You Start

  • Sign in to the business app and confirm you are in the correct business account.
  • Confirm you are viewing the correct business workspace before opening family, dog, or document details.
  • Confirm the staff member is allowed to approve, reject, expire, message, or remind from the Documents page before they change a document or contact a family.
  • Follow approved business policy before deciding whether any medical, vaccine, waiver, agreement, or other document requirement is satisfied.

Documents Page Overview

The Documents page is the current place to review document and compliance work. Start with the summary cards at the top of the page. They show pending review, dogs blocked, warnings, and records that are expiring soon.

Use those cards as a triage view. They tell staff where to look next, but they do not define the business policy behind a document requirement.

Compliance Follow-Up

Use Needs follow-up to find dogs whose visible status suggests a document, readiness, or profile review may be needed. Use Expiring soon to find records that may need family follow-up before the status becomes more urgent.

When a row or card needs more context, open the dog or family details from the visible action. Review the status, document name, family, dog, and any visible note before deciding what to do next.

Review Queue

Use the review queue when a submitted file needs staff review. Pending documents are grouped with family and dog context so staff can compare the uploaded file with the visible requirement.

Only choose a review action when the action is visible, the document context is clear, and the staff member is allowed to make that type of decision. If the visible information does not answer the policy question, leave the item for a staff member who can review that document instead of guessing.

Dog And Family Context

Open dog or family details when the document alone is not enough. The extra context can help staff confirm the dog, household, guardian, readiness status, recent messages, or related records before taking action.

Use the linked dog, family, schedule, and document views for context. Do not share unrelated household, medical, billing, or document details while troubleshooting a single compliance question.

Messages And Reminders

Use reminders or messages only when the family, document, and message body are correct. Keep follow-up language factual. For example, say that a document may need review or replacement when the page shows that state.

Do not promise review timing, eligibility, approval, refund, cancellation, or care availability from this article. Use the contact method and policy approved by the business for urgent or policy-sensitive questions.

There is no separate Compliance page to open in the public help flow. Some older staff links may still use compliance wording. Treat those as compatibility links that open the Documents page with the same document, search, drawer, review, or download context when possible.

If an older link does not open the expected context, go to the Documents page directly and search by dog, family, file name, or document type.

When Review Actions Are Missing

If approve, reject, expire, reminder, or message actions are missing, first check the visible document status and whether that action applies to the selected record.

If the action should be available but is still missing, ask an owner or admin to review the staff member's access on the Access page. They can use Manage Access and Invites to update who can review documents, change document status, or send follow-up messages.

If a file preview or download fails, confirm the staff member is signed in and reopen the file from the visible document card. If a dog remains blocked or warning after a document decision, review the dog and document context before taking another action.
